POSITION TITLE: Philanthropy Assistant

REPORTS TO: Philanthropy Specialist

SUMMARY:  The philanthropy assistant works 15-20 hours/week to support the philanthropy team in all aspects of fundraising to help ensure that annual goals are achieved. Tasks include work with donor database, coordination of events and collateral materials production and inventory, as well as numerous administrative tasks. This position provides a tremendous opportunity to gain experience with nearly all aspects of fundraising.

In partnership with the philanthropy team, the philanthropy assistant will accomplish the following:

  • Process contributions and mail acknowledgement letters within two days of gift receipt
  • Maintain current, accurate gift records in donor database; generate mailing and other lists
  • Coordinate production of fundraising collateral materials, track inventory and restock
  • Work with the philanthropy specialist to ensure that events operate smoothly. Tasks include but not limited to the followings:

                  - Coordinate production of event collateral materials

                  - Develop event invitee lists, mail invites, manage RSVPs and database

                  - Coordinate event details such as space, decorations, menus, nametags, seating, silent   auction display, etc.

                  - Help recruit and manage event volunteers

                  - Solicit and manage in-kind and auction contributions

                  - Acknowledge event payments and donations; bill event sponsors and track payments

  • Support efforts to secure sponsors and corporate partners
  • Provide general support to the philanthropy team

                 - Prepare communications and mail
                 - Manage office supplies, storage and overall appearance
                 - Respond in a timely manner to all e-mails and other correspondence

  • Other duties as assigned


While 1-2 years of employment experience in philanthropy and fundraising is preferred, internships and course work in fundraising, non-profit management, marketing, public relations or communications will also be considered. Specific qualifications include the following:

Natural learner with ability to work independently, solve problems and think on one’s feet
Proficient in use of technology to track activities and data including skill in Raiser’s Edge or DonorPerfect and all Microsoft office products (Excel, Publisher, Word, PowerPoint and Outlook)                                                            
Competence in math and written and oral communications, confident cold calling
High degree of accuracy when reporting facts and figures, detail-oriented
Comfortable interacting with donors and sponsors
Energetic with ability to multi-task and complete work within deadlines and budget
